Privacy Policy

AIO Accountants (“AIO,” “we,” “us,” or “our”) provides a website and client application for sharing documents, communicating with our team, viewing financial information, and accessing related services. This Privacy Policy explains how we handle personal information through these services.

1. Information We Collect

Depending on the services and features you use, we collect:

  • Contact and account information: Your name, email address, business name, account identifiers, and communication preferences.
  • Client records: Financial statements, receipts, tax documents, business records, and other files you submit. These records may contain sensitive personal and financial information.
  • Messages: Communications with our team and interactions with AIOwl.
  • Connected accounting information: Information retrieved from QuickBooks Online when you authorize a connection, including company details, chart of accounts, transactions, balances, and financial reports.
  • Planning information: Expected collections or sales and other assumptions entered into the Year-End Projection feature.
  • Technical information: Information processed by our hosting and technology providers, such as IP addresses, browser and device information, access times, and security or error logs.

We receive information directly from you, from people authorized to act for your business, from services you connect, and through operation of our website and application.

Please submit only information you are authorized to share. Do not upload patient medical records or other unnecessary sensitive information.

2. How We Use Information

We use information to:

  • Create and administer client accounts.
  • Provide services covered by your engagement agreement.
  • Receive, organize, and review documents.
  • Communicate with you and respond to requests.
  • Display financial reports and prepare projections.
  • Operate authorized QuickBooks connections.
  • Provide billing information and service notifications.
  • Support AIOwl and other available automated features.
  • Maintain security, troubleshoot problems, and prevent unauthorized access.
  • Meet applicable legal, recordkeeping, and professional obligations.

This policy does not provide consent for uses or disclosures that require separate authorization under applicable law.

3. QuickBooks Online Connections

When you authorize a QuickBooks Online connection, AIO receives access within the permissions approved through Intuit’s authorization process.

We use connected information to support financial reporting, account classification, projections, and agreed accounting services. Connection credentials and authorization tokens are handled by our backend systems to maintain authorized access.

You can revoke access using Intuit’s available connection controls or contact AIO for assistance. Revoking access stops future retrieval once the revocation takes effect. It does not automatically delete previously imported information or records that must be retained.

Intuit independently handles information under its own privacy policies. AIO Accountants is an independent provider and is not operated by Intuit.

4. Year-End Projections and Device Storage

The Year-End Projection feature combines approved historical financial results with estimates for open or future months.

In the current version, revenue estimates entered into the projection are saved in the browser’s local storage on the device used. These estimates may remain until you reset them or clear browser data. They do not automatically synchronize across devices.

The application also uses browser storage to support account sessions and application functionality. Use caution when accessing client information on shared devices and sign out when finished.

5. AIOwl and Automated Assistance

When you use AIOwl, your messages and relevant context supplied to the feature may be processed by the technology providers supporting automated responses. Messages and responses may also be retained in the application and reviewed by authorized AIO personnel to respond to your request.

Avoid entering passwords, full payment card details, or sensitive information unnecessary for your question.

Automated responses may be inaccurate. Contact your AIO professional to confirm tax positions, deadlines, payment amounts, and significant financial decisions.

6. When Information Is Disclosed

Information may be disclosed to:

  • Authorized AIO personnel who need it to provide services.
  • Technology providers supporting hosting, authentication, databases, document storage, communications, notifications, security, and automated assistance.
  • Connected services when you authorize an integration.
  • People you authorize to access your business account or records.
  • Professional advisers or authorities when reasonably necessary to comply with law, protect rights, or respond to valid legal process.
  • A successor business in connection with a merger, acquisition, or transfer, subject to applicable confidentiality and legal requirements.

Providers supporting the website and application include GoDaddy, OpenAI/ChatGPT Sites, Cloudflare, and Supabase, where used for the relevant service. Intuit provides the QuickBooks platform.

[Before publishing, confirm this provider list and add any active AI, payment, analytics, email, or notification providers.]

7. Advertising, Cookies, and Tracking

The application uses browser storage for sessions and projection preferences. The public website may use cookies and similar technologies provided through its hosting platform and enabled features.

[Before publishing, disclose whether AIO sells personal information or shares it for cross-context behavioral advertising; identify any advertising or analytics tracking enabled on the GoDaddy website; and state how the website responds to Do Not Track and Global Privacy Control signals.]

You can manage cookies and local storage through your browser settings. Disabling them may affect sign-in or other features.

8. Retention and Deletion

We retain information for as long as reasonably necessary to provide services, maintain business records, meet legal and professional requirements, resolve disputes, and enforce agreements.

Retention depends on the type of record, the engagement, and applicable requirements. Closing an account or disconnecting QuickBooks does not necessarily require immediate deletion of accounting records, tax records, security logs, or backups.

Contact us to request account closure or deletion. We will explain applicable retention requirements or other limitations when responding.

9. Security

We use safeguards designed to restrict unauthorized access to client information. However, no internet transmission or storage system can be guaranteed completely secure.

Protect your credentials, use a trusted device, and notify AIO promptly if you suspect unauthorized access.

10. Your Choices and Requests

You may contact us to request access to, correction of, or deletion of personal information, or to ask about its use and disclosure.

Depending on applicable law, you may have additional privacy rights, including rights to obtain a copy of information or opt out of certain processing. We will assess requests under the laws that apply to our business and your information.

We may need to verify your identity and authority before responding. Some requests may be limited by legal requirements, professional obligations, or another person’s rights.

You can also revoke connected-service permissions, adjust device notification settings, and clear locally saved projection estimates.

11. Processing Locations

Our providers may process or store information in the United States and other locations where they operate. Privacy laws in those locations may differ from those where you live.

12. Children

Our services are intended for adults and business users. We do not knowingly collect personal information directly from children under 13. If you believe a child has submitted information, contact us so we can investigate and take appropriate action.

13. Changes to This Policy

We may update this policy as our services or practices change. We will post the revised policy with an updated effective date and provide additional notice of material changes where required.
