App Terms of Use

These Terms of Use govern access to the AIO Accountants client application and portal (“App”), operated by AIO Accountants (“AIO,” “we,” “us,” or “our”). By accepting these Terms when registering for or accessing the App, you agree to them. If you do not agree, do not use the App.

1. Purpose of the App

The App provides tools for communicating with AIO Accountants, sharing documents, viewing financial information, accessing billing information, and using available financial reporting and planning features. Features may vary by account and service arrangement.

Access to the App does not, by itself, establish an accounting, tax preparation, advisory, or other professional engagement. Professional services, responsibilities, fees, and deadlines are governed by a separate written engagement agreement. If these Terms conflict with that agreement regarding professional services, the engagement agreement controls.

2. Eligibility and Account Security

You must be at least 18 years old and authorized to access the information you submit or connect to the App. If you act on behalf of a business, you represent that you have authority to do so.

You agree to provide accurate account information, protect your login credentials, and notify us promptly of suspected unauthorized access. Do not share your account with unauthorized individuals or attempt to access another client’s information.

3. Your Documents and Information

You retain ownership of the documents and information you provide. You grant AIO permission to access, store, process, and display that information as reasonably necessary to operate the App and deliver agreed services, subject to applicable law, confidentiality obligations, and our Privacy Policy.

You are responsible for providing complete, accurate, and timely information and for maintaining your own copies of important records. Uploading a document does not confirm that it has been reviewed, accepted, or filed with any agency.

4. QuickBooks and Other Connected Services

Where available, you may authorize the App to connect to QuickBooks Online or other third-party services. You represent that you have permission to authorize access to the connected account.

The App may retrieve and process information within the permissions you approve, such as account lists, transactions, balances, and financial reports, to support reporting and agreed services.

Connected information may be delayed, incomplete, duplicated, or affected by changes in the source system. Reports should be reconciled to the underlying accounting records before being relied upon.

You may revoke access through the connected service’s available controls or contact AIO for assistance. Disconnecting stops future authorized access but does not automatically delete previously imported information. Retention and deletion are addressed in our Privacy Policy and applicable professional or legal obligations.

QuickBooks and Intuit are trademarks of Intuit Inc. AIO Accountants is an independent provider. Use of a connection does not imply Intuit’s endorsement of AIO or the App. Third-party services remain subject to their own terms and privacy policies.

5. Financial Reports and Projections

Dashboards, estimates, and the Year-End Projection feature depend on the data and assumptions used. The Year-End Projection combines approved historical results with estimated amounts for open or future months. Users may adjust expected collections or sales, while projected expenses use accountant-reviewed assumptions. Actual results may differ from these estimates. 

6. AIOwl and Automated Features

AIOwl and other automated features may assist with general questions, navigation, and communication. Automated responses may contain errors, omit relevant facts, or misunderstand your circumstances.

Automated responses do not replace personalized professional advice. Confirm tax positions, filing requirements, payment amounts, deadlines, and significant financial decisions directly with your AIO professional.

An automated acknowledgment does not mean a professional has reviewed your message or agreed to take action.

7. Messages, Notifications, and Deadlines

The App may provide messages and notifications about documents, reports, billing, or account activity. Delivery may be delayed or interrupted by device settings, network conditions, or third-party services.

Submitting a message or uploading a document does not extend a filing or payment deadline or establish that AIO has accepted a time-sensitive request. Obtain direct confirmation for urgent matters.

8. Fees and Payments

Fees, billing schedules, cancellation terms, and refund arrangements are governed by your engagement agreement or separately accepted subscription terms.

These Terms alone do not authorize recurring charges, bank withdrawals, or other payments. Any required payment authorization must be provided separately. Payment processing may be subject to a third-party processor’s terms.

9. Acceptable Use and App License

Subject to these Terms, AIO grants you a limited, nonexclusive, nontransferable right to use the App for your authorized personal or business purposes.

You may not use the App unlawfully, upload malicious software, interfere with its operation, bypass access restrictions, or disclose information you are not authorized to share.

AIO and its licensors retain ownership of the App’s software, branding, design, and other proprietary materials. These Terms do not transfer ownership of those materials to you.

10. Privacy and Confidentiality

Our Privacy Policy explains how information is collected, used, disclosed, retained, and protected. Please review it before using the App.

Nothing in these Terms waives confidentiality obligations or permits use or disclosure of tax return information where separate consent is required by law. Any required consent will be requested separately.

11. Availability and Changes

We may update, maintain, or modify the App. Features and third-party connections may occasionally be unavailable. We do not guarantee uninterrupted or error-free access.

Where reasonably practicable, we will provide notice of material changes that affect your access to the App.

12. Suspension and Termination

We may restrict or suspend access when reasonably necessary to address unauthorized use, security concerns, violations of these Terms, or legal requirements.

You may stop using the App and contact AIO to request account closure. Account closure does not automatically terminate a separate professional engagement or eliminate outstanding obligations.

Record access, return, retention, and deletion remain subject to your engagement agreement, our Privacy Policy, and applicable law.

13. Disclaimers and Responsibility

To the extent permitted by applicable law, the App and its automated features are provided “as is” and “as available,” without warranties of uninterrupted operation, error-free output, or suitability for a particular purpose.

To the extent permitted by law, AIO is not responsible for indirect or consequential losses arising from use of the App. Nothing in these Terms excludes liability that cannot lawfully be excluded, limits responsibility for fraud or willful misconduct, or overrides professional duties or obligations under a separate engagement agreement.

14. Governing Law

These Terms are governed by California law, without regard to conflict-of-law rules, except where applicable law requires otherwise. Any dispute provisions in a separate engagement agreement continue to govern disputes within that agreement’s scope.

15. Updates to These Terms

We may revise these Terms and will post the updated version with a revised effective date. We will provide notice of material changes and obtain renewed acceptance where required by law. Changes will apply prospectively.
